Chapter No. 1Introduction to Access 2013
NEW WORDS
Students should extract new words by themselves from chapter No. 1 and write them on neat copies as vocabulary words. There is no need to memorize these words but students should be able to read and understand these words as I explained and discussed in class.
NEW TERMS AND ABBREVIATIONS
Students should learn these terms and abbreviation. It will be the part of exam.
1. Records:
The unique identity of a row in a table of database is called record. It has the complete information of one entity.
2. Field:
The heading of each column in the table of database is called field.
3. Short Text:
We use this to store text. It's range to store up to 255 characters.
4. Long Text:
We use this to store long text. It's range to store up to 65,535 characters.
5. Auto Number:
When records are added then it automatically generates it's primary key for next data. This is called auto numbering.
6. OLE Object:
OLE stands for Object Linking and Embedding. It is used to store graphics and objects.
7. Hyperlinks:
It is clickable link use to access the required information from a particular path.
8. Database:
It is the collection of organized data.
9. DBMS:
DBMS stands for Data Base Management System. It is a program in the computer system that can store, retrieve and modify the information from database. It can store and manage large volume of data.
10. Primary key:
It has the unique information in the database to specify the specific record.
11. Datasheet view:
To view the sheet that contains data in the form of rows and column.
12. Database objects:
Database objects are forms, macros, modules, reports and queries.
13. Data type specification:
It can control that what you are going to enter in the field.
14. Filtering:
It is a tool that is use to process of choosing the specific data from the database.
15. VBA Programming Language:
VBA stands for Visual Basic for Application. It is an event-driven programming language developed by Microsoft.

2. It controls data inconsistency.
3. It also facilitates with data sharing.
b. What are the six database objects?
Answer: The six database objects are:

c. What are the two ways of creating a database?
Answer: Two ways of creating database are:
1. We can use template.
2. We can also use blank desktop database.
d. What are the rules for naming a field?
Answer: Following are the rules to name the fields:

2. It can be letters, numbers and special characters.
3. It should not contain period, grave accent, parenthesis or exclamation mark.
4. It should not be start with a blank space.
5. It can be written with upper case, lower case or mixed.

f. What is the difference between hiding and freezing field?
Answer: To hide the field means that it is completely invisible from the datasheet while to freeze the field means that it will place at the left side of datasheet and it always visible no matter where we are scrolling in the datasheet.
g. List the steps to show the total row in an access 2013 table.
Answer: Lab work (will be discuss in Computer lab. Students do not have to do this question on neat copies).
h. Ali's teacher wants to organise all the personal data (name, age, etc.) and academic data (extracurricular interests, achievements, etc.) of the students in his class. Ali suggests he uses a DBMS (Data Base Management System) for this purpose. Analyse the advantages and disadvantages of using a DBMS for this task.
Answer:
i. You have been asked to create a database for the school's cricket team using Access 2013. You realise that you can either use a template or develop it yourself. Compare both ways of creating the database and state your preference.
Answer: We can develop this by two ways:
1. By using Template method.
2. By using Scratch method.
j. Your task is to create a database to track the progress of 5 different teams that all played in a recent Football World Cup. Create a database using MS Access for any five teams of your choice. You must include the following fields in your table:
o matches played
o winning team
o losing team
o goals for
o goals against

Answer: Yes we can take ItemNo as primary key because it is unique in this database.
ii. What is the data type of the field, ItemNo?
Answer: The best data type suits for an ItemNo is 'AutoNumber'.
b. Consider the table on the right (of this question on page 22)
i. What could be the primary key field in this table?
Answer: The primary key field in this table is EmpID that is Employee ID.
ii. Suggest suitable data types for the fields of this table.
Answer: The most suitable data types for the fields of this table:
AutoNumber for EmpID.
Short text for EmpName.
Short text for JobTitle.
Date/ Time for Date of Joining.
Number for EmpSalary.
